Post Monthly Depreciation
The Depreciation tab previews the charge for a past month-end and Post depreciation records one journal; running the same month twice never charges twice.
For School administrators, Accountants, Directors and proprietors. Updated 2026-10-09.
Overview
Open Fixed Assets > Depreciation. Choose Month to depreciate (the list offers recent month-ends; a month that has not ended cannot be posted: "That month has not ended yet. Choose a month-end that has passed."). The preview table lists each due asset with its Charge and Book value after, and a total. The left section also explains the methods.
Post depreciation (the “edit fixed asset” permission) asks you to confirm, then posts one journal dated the month end: debit 5500 Depreciation, credit 1590 Accumulated depreciation, and one depreciation row per asset, and raises each asset's written-off total.
Assets are included only if In use, Idle or Under repair, bought before that month, and not already depreciated for it. If nothing is due the page says "No assets are due a charge for <month>" or that the month has already been depreciated. A lock prevents two users posting the same month at once, and a second run adds nothing.
A closed fiscal year blocks the posting. The right panel, Depreciation already posted, lists months, number of assets and amount charged. Every run is audit-logged. Asset schedule and the Net book value tile update afterwards.

That month has not ended yet
Choose a month-end that has already passed.
An asset bought this month is not in the run
Assets start depreciating the month after purchase.
