Finance Overview, Paying SSNIT/PAYE/VAT/WHT and Bringing in Past Transactions
The Overview tab shows cash, supplier debt, monthly income and spending, approvals waiting and tax liabilities with Pay buttons, and offers a one-time Bring in history for administrators.
For School administrators, Accountants, Directors and proprietors. Updated 2026-10-09.
Overview
On the Journals, statements and budgets page the tiles show Cash and bank, Owed to suppliers (with overdue count and amount), This month income, This month spending with surplus, Bills due in 7 days, Waiting for approval (purchase orders, bills and petty cash vouchers) and the current Fiscal year.
The card Taxes and contributions waiting to be paid appears when any liability is above zero: SSNIT contributions (2110), PAYE to GRA (2120), Withholding tax to GRA (2310), VAT to GRA (2300) and Other payroll deductions (2130).
Pay opens a modal with Amount, Reference and Pay from (a cash or bank account); the amount cannot exceed what is owed ("Only X is owed on ..."), and posting needs the “add account” permission. Payroll runs and supplier payments with withholding create these liabilities.
Bring your past transactions into the books is an amber card shown only to Administrators until used: it adds earlier fee, sales and transaction records and payroll runs so statements cover everything since the school started. It is safe to run again and never doubles entries, and it is recorded in the audit log. The overview refreshes about every minute.
Before you start
- The “view account” permission for the overview
- The “add account” permission to pay remittances
- Administrator to run Bring in history
Steps
- Open Accounting > Journals & Ledger and stay on the Overview tab
- Review the tiles and the waiting-for-approval count
- In Taxes and contributions waiting to be paid select Pay on a liability
- Enter amount, reference and the bank account, then Record payment
- As Administrator, select Bring in history if the card is shown
Common problems
The tax card is not showing
It lists only liabilities with a balance above zero. Run payroll or approve supplier payments with withholding first.
Only X is owed on this liability
You typed more than the liability balance. Reduce the amount or check payroll postings.
Statements are missing earlier years of fees
An Administrator should select Bring in history on the Overview tab. If the card is not visible it has already been run or there is nothing to import.
