Payables Ageing and Overdue Supplier Bills

The Payables ageing tab groups outstanding supplier bills into not yet due, 1-30, 31-60, 61-90 and 90+ days overdue per supplier.

For School administrators, Accountants, Directors and proprietors. Updated 2026-10-09.

Overview

Procurement > Payables ageing summarises every Approved or Partially paid bill by supplier. Five tiles at the top total the buckets: Not yet due, 1-30 days, 31-60, 61-90 and 90+. The table lists each supplier with an amount in each bucket and a Total, sorted by largest balance, plus a totals row.

The bucket is based on the due date (bill date plus supplier terms): bills not past due go into Not yet due, otherwise the number of days past due decides the column. When nothing is owed the page shows "Nothing is owed to suppliers." Draft and void bills are excluded, as are fully paid ones.

In the Supplier bills list, overdue bills show red text such as "12 days overdue". The Overview tab on the Finance page (Journals, Statements and Budgets) also shows Owed to suppliers with the overdue count and amount, and Bills due in 7 days. Use the Supplier statement for one supplier's full history. Directors can view ageing but cannot pay.

Common problems

A bill I recorded does not show in ageing

Only Approved or Partially paid bills are included. A Draft bill must be approved first.

Ageing totals differ from the Accounts payable balance

Ageing covers supplier bills only. Compare with the ledger of account 2000 under Journals > Account ledger and look for manual or reversal entries.
