PTA Dues Status per Student and Export Contributions
PTA dues campaigns have a Students and dues tab listing Paid, Part paid or Owing per student with guardian phone; Export downloads a CSV of payments.

Overview
For a PTA dues campaign, the campaign drawer shows a Students and dues tab listing every active student with class, guardian name and phone, Paid, Owing and Status (Paid, Part paid, Owing). Dues are per student, so a parent with three children has three lines. Search by student name or ID, and filter by Paid or Owing.
The header summarises "X of Y students paid in full, GH₵ Z still owing" where Y is all active students and expected total is students times the dues amount.
Only PTA dues campaigns have this tab; other types return "Only PTA dues campaigns have a list of families." The Export button in the drawer downloads a CSV of all positive payments with Receipt, Date received, Donor, Student, Amount (GHS), Method, Reference and Status (Received or Reversed).
Values starting with a formula character are escaped for spreadsheet safety. Overview figures on the main page include Raised so far, Raised this month, Target of open campaigns and Pledged, not yet paid. Viewing and export need the “view fundraising” permission, which Admins, Accountants and Directors have.
Before you start
- A PTA dues campaign with a dues amount
- The “view fundraising” permission permission
Steps
- Open PTA & Fundraising and select Open on a PTA dues campaign
- Select the Students and dues tab
- Search by student, or filter to Owing to find who still has to pay
- Use the guardian phone shown to follow up
- Select Export in the drawer header to download the CSV of payments
Common problems
A student who paid still shows Owing
The payment must be recorded with that student selected under Student (for dues). Reverse the payment and re-record it with the student chosen if it was recorded without one.
The Students and dues tab is missing
It exists only for campaigns of type PTA dues.
Guardian name is blank
No guardian is linked to the student. Add one in the student profile.
Overpaying a student
Amounts above the dues are counted as received, but the collected-for-dues total caps each student at the dues amount.
