Use Default Leave Types, Edit Pending Requests, and Discuss Applications

Managers can install default leave types; pending requests can be edited or cancelled, and authorized participants can add comments with in-app notifications.

For School administrators, Staff, Teachers. Updated 2026-08-25.

Overview

Leave Manager includes Overview, Applications, Leave Types, and Balances. A manager with leave management permission can create the built-in default leave types, edit type details, or deactivate a type so it is hidden from new requests without deleting history.

A pending leave application can be edited by its owner or an authorized leave manager, subject to the same valid date, active type, and overlap checks used at creation. Pending requests can also be cancelled.

The applicant and authorized managers can open Leave Comments to discuss an accessible application; new applications, updates, comments, approvals, rejections, and cancellations send in-app notifications to the relevant requester or reviewers. Approval or rejection is still limited to a pending request, and rejection requires a review note.

Before you start

Steps

  1. Open Leave Manager
  2. Use Leave Types > Add defaults if the school has not configured leave categories
  3. Open Applications to submit or edit a pending request
  4. Use Comments on an application for follow-up information
  5. A reviewer approves or rejects the pending request; rejection requires a note
  6. Use Balances and select a staff member to review annual remaining days

Common problems

An application cannot be edited

Only pending applications can be edited, and only the requester or an authorized leave manager can edit it.

A manager cannot approve or reject

Confirm the manager has leave update permission and the application is still Pending.

A leave type disappeared from new applications

It was probably deactivated. Historical requests remain intact; edit or recreate an active type for future use.

Another staff member's balance or comments are inaccessible

Non-managers are restricted to their own accessible applications and balance; grant the appropriate leave permissions only when broader access is required.
