Assign reviewers and track appraisal progress

On the Appraisals tab, tick staff rows and click Assign reviewer. Filter by cycle, status, reviewer, overdue or unassigned. HR can review when no reviewer is assigned.

For School administrators, HR managers, Directors and proprietors. Updated 2026-10-09.

Overview

The Appraisals tab lists every appraisal with filters for Cycle ("All cycles"), status (Waiting for staff, Waiting for review, Completed), reviewer (Any reviewer, No reviewer, or a person), and Overdue, plus a staff search ("Search staff member...").

Appraisal statuses: Waiting for self-assessment (PENDING_SELF), Waiting for review (PENDING_REVIEW) and Completed. Overdue means the cycle is Open, past its end date and the appraisal is not completed.

To assign reviewers (needs the “edit appraisal” permission) tick the checkbox on one or more rows (or "Select all on this page"), click Assign reviewer and choose the person in the "Assign reviewer" box. Up to 500 appraisals at once.

Completed appraisals and appraisals in closed cycles cannot be reassigned, and nobody can review themselves (those rows are skipped). Leaving the reviewer empty removes the current reviewer. The chosen reviewer receives the notification "Appraisals to review". Reviewers are active staff members of any role.

When a staff member sends their self-assessment, the reviewer (if assigned) is notified "An appraisal is ready for you". If no reviewer is assigned, a user with the “edit appraisal” permission (HR) can complete the review so an appraisal never gets stuck.

Click a row to open the appraisal drawer with self scores, reviewer scores, comments, overall score and rating.

Before you start

Steps

  1. Open Appraisals & Training > Appraisals.
  2. Filter by cycle, or choose "No reviewer" to find unassigned appraisals.
  3. Tick the staff rows to assign.
  4. Click Assign reviewer, pick the reviewer and confirm.
  5. Use the Overdue and status filters to chase people who are late.

Common problems

Some rows were skipped when I assigned a reviewer.

Completed appraisals, closed cycles and a person being assigned as their own reviewer are skipped.

There is no checkbox on a row.

Completed appraisals cannot be reassigned, and the checkbox column needs the “edit appraisal” permission.

A reviewer cannot see the appraisal.

The appraisal must be assigned to them and the cycle must not be a Draft. They will find it under My Performance > Team to review.
