Approve or Remove Alumni Who Joined Online
The Joined online tab lists self-registrations awaiting approval; Approve puts consenting people on the public page, Remove deletes the registration.
For School administrators. Updated 2026-10-09.
Overview
When a former student fills the Join the network form (first and last name, email, year finished 1950 or later, optional programme, work, city, country, LinkedIn, and the consent checkbox) a registration is created and Admins get a notification.
The Joined online tab (with a badge count) shows Name, Class of, Programme, Work and place, Agreed to be listed (Yes or No) and Joined date. Approve moves the person to the main directory and onto the public page, but it is disabled with the tooltip "They did not agree to be listed" if consent was not ticked.
Remove (confirm "Remove this registration?") deletes the registration. A person who withdraws consent later (staff edit consent off) is returned to awaiting approval and removed from the public page. If the email is already in the directory the public form still says thank you but creates nothing, so visitors cannot discover who is listed.
Registrations pause if more than 500 are waiting. Approving and removing need the “edit alumni” permission.
Before you start
- The “edit alumni” permission permission (Admin)
Steps
- Open Alumni and select the Joined online tab
- Review each registration
- Select Approve to show a consenting person on the public page, or Remove to delete the registration
- Find approved people in the Directory tab, where they show as On public page
Common problems
The Approve button is greyed out
The person did not tick the consent box, so they cannot appear publicly. Remove the registration or contact them to register again with consent.
Someone says they registered but is not in Joined online
If their email already exists in the directory the registration is not duplicated. Search the Directory tab by email.
Registrations are rejected with a paused message
More than 500 registrations are awaiting review. Approve or remove some and ask the person to try again.
