Who Can Mark Which Class and the Current-Term Requirement

Teachers only see and mark classes where they are the class teacher; saving, finalizing and reversing also need a current, open academic term.

For School administrators, Teachers, Staff, HR managers, Directors and proprietors. Updated 2026-10-09.

Overview

Attendance access is permission-based. Viewing needs the “view attendance” permission, saving a register or recording staff or absence requests needs the “add attendance” permission, and finalizing, reversing, approving requests and changing clock-in rules need the “edit attendance” permission.

Admins have all of these; teachers have create, read and update; employees, HR managers, directors and support users can read only (employees also hold attendance:log).

Class scope: when the signed-in user is a TEACHER, the class list, registers, insights, history and the attendance report are limited to classes where that teacher is the assigned class teacher. If a teacher opens a class that is not theirs, the system answers 'Class not found or not assigned to you'. Admins see every class.

Term rule: saving, finalizing, reversing and QR check-in all look up the school's current academic term. If none is configured the message is 'No current academic term has been configured'; if the current term is closed the message is 'The current academic term is closed for attendance updates' (status 423).

Every saved or finalized register is stamped with the current term, which is how reports filter by term. The Staff QR, Needs attention and Kiosk set-up tabs are hidden from teachers; they appear for other roles that can open Attendance.

Before you start

Steps

  1. Open Attendance from the sidebar
  2. Teachers: open Overview & Logs and pick one of your classes in Log Attendance
  3. If a class is missing, ask an admin to set you as class teacher on that class
  4. If saving fails with a term message, ask an admin to set or reopen the current term under Academic settings
  5. Admins: use the class filter on Overview or History to look across all classes

Common problems

A teacher cannot see a class in the Log Attendance class picker

The picker only lists classes where that teacher is the class teacher. An admin must assign them on the class record, or an admin can mark the register.

Saving says No current academic term has been configured

Create or mark a current term in Academic settings, then save again.

Saving says the current academic term is closed

Attendance cannot change in a closed term. An admin must reopen the term or set the correct current term.

A user can open Attendance but the Log Attendance button fails with permission denied

The role has read but not create access. Ask an admin to log it or to change the role's permissions.
