Release a student to an authorised collector at the Dismissal Desk
Search the student on the Dismissal Desk, choose Release to the collector, verify by PIN or ID check, and confirm.

Overview
The Dismissal Desk (Students > Dismissal Desk, https://portal.myschoolgh.com/pickup/desk) is built for quick use at the gate with large buttons. It requires the “add pick-up” permission. Type at least two characters of a student name, student ID or class name; results appear after a short pause (up to 20 active students). Select the child if several match.
The screen shows the child, a warning if they were already released today, and a card for each collector who is active and within their valid dates, with photo, relationship, phone, ID details and gate notes. Press Release to <first name> on the right person.
In the dialog choose how they were checked: They say the PIN (enter the 4-8 digit PIN; six digits are issued) or I checked their ID (compare the person with the photo and ID details on screen). Add an optional note and press Confirm release. A wrong PIN is rejected with "That PIN does not match.
Check the person's ID instead, or ask a guardian." and the failed attempt is written to the audit trail. On success the child is logged as released, the guardians are notified ("Collected from school") and the search clears so the next child can be handled.
The right-hand panel Today's hand-overs and the four tiles (Released today, Turned away, Not on the list, PIN checked) refresh automatically.
Before you start
- The “add pick-up” permission permission
- The student has at least one active authorised collector
- The collector has their PIN or ID
Steps
- Open Students > Dismissal Desk
- Type the student name, ID or class in the search box
- Select the student if more than one appears
- Press Release to the collector shown on their card
- Choose They say the PIN and enter it, or choose I checked their ID after comparing the person with the photo
- Add a note if needed and select Confirm release
- Check the confirmation toast and the entry in Today's hand-overs
Common problems
The student shows no collectors
The desk shows "No authorised collectors on file". Nobody is listed, or all collectors are inactive or outside their dates. Add one on Safe Pick-up, or use Someone not on the list with a guardian call.
The PIN is rejected
Check the digits (PIN must be 4-8 digits). If it keeps failing, verify by ID check or ask the guardian to re-issue the PIN with New PIN.
There is no Release button
Your account probably has only the “view pick-up” permission. Releasing needs the “add pick-up” permission.
Search finds no student
Only active students match. Check the spelling or search by student ID or class name.
