Promote Continuing Students and Graduate Terminal Classes
Progress active students once per academic year; ordinary promotions complete the source enrollment and create a destination enrollment, while terminal classes graduate students without a destination.
For School administrators. Updated 2026-08-25.
Overview
Student Progression uses the selected class's active roster as its source, including imported active enrollments that may retain an earlier academic-year reference. A student can progress only once in the current academic year, so a destination enrollment created by one batch is excluded from later previews and cannot be promoted again accidentally.
For an ordinary class, progression changes the source enrollment to Completed and creates an Active enrollment in the selected destination class for the current academic year. For a class configured as terminal, progression changes the source enrollment to Graduated and creates no destination enrollment.
Graduation keeps the student account, portal access, report cards, payments, arrears, BECE records, guardians, and other history intact, while removing the learner from active class rosters, attendance, new fee allocation eligibility, and later progression previews.
Before you start
- Set a current academic year
- Ensure students have an Active enrollment in the source class
- Configure each school-ending class as a terminal class under Classes & Subjects
Steps
- Open Academics > Promotion
- Select the From Class
- For an ordinary class, select the To Class; for a terminal class the destination field is hidden
- Select the students in the preview and optionally enter notes
- Select Promote Students or Graduate Students and confirm
- Open History to verify the applied batch, classes, year, operator, date, and student count
Common problems
The progression preview shows no students even though the class roster has students
Confirm the students have an Active enrollment and have not already been promoted or graduated in the current academic year. Imported active enrollments can use an older stored academic year and still appear.
Students promoted into the next class appear when previewing that class
They should be excluded by the current-year promotion history. Refresh the preview; if they remain, report the issue before running another batch.
A terminal class still shows a To Class field
Edit the class under Classes & Subjects and enable Terminal class, then return to Promotion.
