Manage Bank Accounts and Account Heads
Bank Accounts store school banking details; Account Heads classify income and expense transactions and can be term-scoped.
For School administrators, Accountants. Updated 2026-08-01.
Overview
Bank Accounts store a display name, bank name, account number, and optional description. Account Heads classify transactions as Income or Expense and can optionally be linked to an academic year and term. Manual transactions require a matching account head for the selected type, so create account heads before posting income or expense records.
Delete actions require delete permission and may be blocked when records are already in use.
Before you start
- Use account create or update permission for changes
Steps
- Open Accounting > Account Heads to create income and expense heads
- Choose the head type before saving
- Optionally link the head to an academic year or term
- Open Accounting > Bank Accounts to add bank records
- Edit records from row actions when details change
- Delete only records that are not in use and when permitted
Common problems
No account head appears when posting a transaction
Create an account head with the same type as the transaction: Income heads for income, Expense heads for expenses.
Delete is blocked
The record may be in use or the account lacks delete permission; archive or contact support if cleanup is needed.
