Reconcile Bank Transactions with Evidence
Review bank transactions and mark each as reconciled once verified.
For School administrators, Accountants. Updated 2026-09-13.
Overview
Bank reconciliation is evidence-aware. Pending bank transactions can be reviewed from Banking or Accounting, opened with their uploaded attachments, and reconciled manually or through auto reconciliation. Manual reconciliation records the reviewer, timestamp, and MANUAL_REVIEW method.
Auto reconciliation only processes pending rows that have a bank reference or uploaded evidence, then reports how many were reconciled, reviewed, or skipped. Unreconciling a transaction returns it to pending and clears the reconciliation metadata.
Steps
- Open Banking or Accounting and go to the bank transactions/reconciliation view.
- Filter for pending transactions and open a row to review the bank reference, amount, date, and any uploaded evidence.
- Use the attachment viewer when evidence was uploaded, or confirm that a reliable bank reference is present.
- Select Confirm or Reconcile to mark a verified row as reconciled, or return it to pending when it needs review.
- Use Auto reconcile to process evidence-backed pending transactions in bulk, then review the reconciled, reviewed, and skipped counts.
Common problems
Auto reconciliation skipped the row
Auto reconciliation skips rows without a bank reference or uploaded evidence. Add evidence or reconcile the row manually after review.
The user cannot unreconcile a transaction
A transaction can only be unreconciled when the user has accounting reconciliation permission.
An attachment does not open
Confirm that the bank transaction was uploaded with evidence and that the file still exists.
