Set Up Account Heads and Bank Accounts

Create account heads for income and expense types, and bank accounts with optional opening balances, before recording transactions.

For School administrators, Accountants. Updated 2026-08-10.

Overview

Account heads classify transactions as Income or Expense, optionally scoped to an academic year or term. Bank accounts record the school's own bank details and can include an opening balance so the account starts from an existing amount instead of zero. A transaction cannot be recorded until a matching account head of the right type exists.

Steps

  1. Open Accounting > Account Heads
  2. Select New account head, choose Income or Expense, and name it
  3. Open Accounting > Bank Accounts
  4. Select New bank account and enter its details, including any opening balance
  5. Save before recording transactions against that bank account

Common problems

A transaction cannot be classified

Create the required account head of the matching type (Income or Expense) before recording the transaction.

The bank balance does not start from zero

Check the bank account opening balance. It is part of the account setup and is included when the system presents the account's starting balance.

Delete does not work on an account head or bank account

Deleting these currently fails with a permission error for every role in this build; contact support instead of retrying.
