Record an Income or Expense Transaction

Choose income or expense, pick the account head, and record the amount, date, and payment method.

For School administrators, Accountants. Updated 2026-09-13.

Overview

Add Transaction records income or expenditure against an account head, payment method, date, optional student or bus attachment, and description. Income increases the selected account balance, while expenditure decreases it. Expense transactions can use line items, and the total amount is locked to the item total when expense items are provided.

Before posting, the confirmation modal shows a structured summary board with the transaction type, amount, account head, payment method, date, attachment, and expense items so the user can verify exactly what will be saved.

Before you start

Steps

  1. Open Accounting > Add Transaction.
  2. Choose Income or Expense, then select the account head, date, payment method, and amount.
  3. Attach a student for student-related income or a bus for transport-related expenses when applicable.
  4. For detailed expenses, add line items so the system can calculate the transaction total.
  5. Review the confirmation summary board and confirm only when the type, amount, account head, payment method, date, and attachment are correct.
