How Safe Pick-up works: collectors, PINs and the hand-over log

Safe Pick-up keeps an authorised list of people allowed to collect each student, gives each person a PIN, and records every hand-over and refusal at the gate.

For School administrators, Teachers, Staff, Directors and proprietors, Parents. Updated 2026-10-09.

Overview

Safe Pick-up (under Students in the sidebar) controls who may collect a child at dismissal. Each student has a list of authorised collectors (for example an aunt, a driver or a neighbour). Every collector gets a six-digit pick-up PIN when they are added; the PIN is shown only once and only a hash is stored. There are three pages.

Safe Pick-up is the admin page with two tabs, Collectors and Hand-over log, plus four summary tiles (Released today, Turned away today, Not on the list, First and last). Dismissal Desk is the gate screen where staff search for a child and record the release or refusal.

My Pick-up is the parent page where guardians manage the collectors of their own children and see who collected them. Every release and refusal is stored in the log with who collected, how they were checked, which staff member recorded it and an optional note, and guardians receive a notification each time their child is collected or a collection is refused.

The school day is treated as the UTC day, which matches Ghana time. Staff pages need pickup permissions; the parent page is only for users of type PARENT. This web feature is PIN and ID based; QR scanning for guardians is a separate mobile attendance feature.

Before you start

Steps

  1. Open Students > Safe Pick-up to manage collectors and review the Hand-over log
  2. Use the Collectors tab to search a student and add or change the people allowed to collect them
  3. Give each new collector the PIN shown once after saving
  4. At dismissal, gate staff open Students > Dismissal Desk and record each hand-over
  5. Review releases, refusals and exports later under the Hand-over log tab
  6. Parents can open My Pick-up to manage their own list and watch recent hand-overs

Common problems

I cannot see Safe Pick-up in the sidebar

The page needs the “view pick-up” permission permission and is shown to admins, directors, teachers and employees. Parents see My Pick-up instead. Ask an administrator to check your role permissions.

Does Safe Pick-up use QR codes?

The Safe Pick-up pages use a PIN or an ID check. QR drop-off and pick-up for guardians is a separate mobile attendance feature described in the QR pick-up and drop-off entry.
