Assign a Custom Permission Override to One User

Each module is a card with a checkbox per action, starting from the person’s role defaults. Allow all, Reset all and a search box help, and Save changes stores only what differs from the role.

For School administrators. Updated 2026-10-09.

Overview

User Overrides gives one person extra or reduced access without changing their role. The page shows one card per module (Students, Fees, HR & Payroll and so on) with a checkbox for each action. The boxes start from what the person’s role allows, so a ticked box means they can do it today.

Untick an action to take it away (it shows a red cross) or tick one the role lacks to add it. The box beside the module name allows or denies every action in that module; Reset on a card returns it to the role default.

At the top, Allow all gives the person every permission listed, Reset all clears every override so they are back on role defaults, and Search permissions filters cards and actions as you type (for example type fees or lab). Nothing is stored until you press Save changes, which only lights up when something changed.

Only the differences from the role are saved. This needs the “edit user permission” permission to change and the “view user permission” permission to view.

Steps

  1. Open Settings > User Overrides and choose the staff member (or open the Permissions section on an employee or teacher profile)
  2. Read the module cards: a tick is allowed, a red cross is a role permission taken away, an empty box is not allowed
  3. Tick or untick actions, use the box beside a module name to allow or deny the whole module, or press Reset on a module to go back to the role default
  4. Use Allow all, Reset all or the Search permissions box at the top to work faster
  5. Press Save changes

Common problems

Boxes look ticked before I change anything

That is correct: they show what the person’s role already allows. Only your changes are saved as overrides.

A staff member still cannot access something after I ticked it

Check you pressed Save changes. Then check Settings > Feature Modules (the module may be hidden) and ask the person to sign in again.

I want to undo my changes for one module

Press Reset on that module card, then Save changes. Reset all clears every override for the person.
