Close (End) the Current Academic Term
End the current term, snapshot fee arrears, promote the selected next year and term, and optionally carry forward academic setup.
For School administrators. Updated 2026-08-01.
Overview
Closing a term is the academic-calendar rollover action in MySchoolGH. It is used both at the end of a normal term and at the end of the final term before a new academic year begins. Before closing, the next academic year and next academic term must already exist and be marked as Next.
Closing snapshots billed, paid, and outstanding fee totals into arrears records, prevents further edits to the closed term, unsets the old current term, and promotes the selected next term and its year as Current. The close drawer also lets the school carry forward grading system, subjects, lesson plans, and subject resources into the new period.
Before you start
- Current academic year and current academic term are correctly set
- Next academic year is created and marked Next
- Next academic term is created, belongs to the next academic year, starts after the current term, and is marked Next
- Fees and payments for the closing term have been reviewed
Steps
- Open Setup > Academic Periods
- Confirm the current year and current term are correct
- Create or locate the upcoming academic year and select Set as next
- Create or locate the upcoming academic term under that year and select Set as next
- Select Close on the current open term
- Choose which setup data to carry forward: grading system, subjects, lesson plans, and subject resources
- Add optional closure notes
- Confirm End academic term
- Check that the next year and term are now marked Current
Common problems
Close is blocked with a setup message
Set the next academic year and next academic term first; the next term must belong to the next academic year.
The term will not close
Only the current, still-open term can be closed, and the next term start date must be after the term being closed.
The school wants to close an academic year
Create the new academic year and its first term, mark them as Next, then close the current final term. That rollover starts the new academic year.
A closed term needs correction
Only the most recent closed term directly before the current term can be reopened, and only if it has reversible closure tracking.
