Surveys Access by Role and Common Problems
Admins and HR managers create and manage surveys, directors view results, everyone in the audience answers from My Surveys.
For School administrators, HR managers, Directors and proprietors, Teachers, Staff, Students, Parents. Updated 2026-10-09.
Overview
Surveys and Feedback requires the “view survey” permission: Admins and HR managers see it and can create (the “add survey” permission) and manage (the “edit survey” permission); Directors have read-only access with results and export.
Everyone else uses My Surveys, which has no permission requirement and is shown to students, parents and staff types such as teachers, employees, accountants, health staff, bookstore managers and transport managers. Surveys belong to one school and are never visible to other schools. Answers are one per person per survey.
Survey management actions are logged in the audit trail. If a survey page says "Survey not found", the link is invalid, the survey belongs to another school, or the survey audience or class scope does not include you. Subscription status is also checked: if the school subscription has lapsed the pages may not load.
Steps
- Staff who manage surveys open Surveys & Feedback
- Everyone else opens My Surveys
- If a role needs access, an Admin grants survey permissions under user role permissions
Common problems
A teacher cannot see Surveys & Feedback in the sidebar
Teachers do not manage surveys. They answer surveys from My Surveys. Management needs the “view survey” permission and, to create, the “add survey” permission.
Director cannot create or close surveys
Directors have the “view survey” permission only. An Admin or HR manager must create, open and close surveys.
I opened a survey link and got "Survey not found"
The survey is not addressed to your user type or class, or has been deleted. Ask the school office to confirm the audience.
