Recruitment page overview, tabs and who can use it

Recruitment has five tabs: Overview, Job postings, Applicants, Interviews and Workforce & vacancies. Admins and HR Managers manage it; Directors can only view.

For School administrators, HR managers, Directors and proprietors. Updated 2026-10-09.

Overview

Recruitment lives under Human Resources & Admin in the sidebar and needs the HR feature switched on for the school. It opens on the Overview tab and has five tabs: Overview (hiring numbers), Job postings, Applicants, Interviews, and Workforce & vacancies (authorised positions and who holds them).

Clicking a posting opens a pipeline board and clicking an applicant opens their profile.

Overview shows tiles for Applications, Open positions, Shortlisted (applicants in Screening, Interview, Offer or Hired), In interview and Hired, an "Applications this week" 7-day trend, where applicants came from (online, referral, walk-in, agency, added by team), the open positions with applicant and hire counts, and the next five scheduled interviews.

If nothing is open it says "No positions are open.

Create a job posting or open a vacancy from the Workforce tab." Access is permission based. the “view recruitment” permission lets a user see every tab (Admin, HR Manager and Director have it; the sidebar item is shown to those three roles). the “add recruitment” permission adds postings, applicants, interviews, offers and positions. the “edit recruitment” permission edits postings, moves applicants between stages, records feedback, sends/accepts/declines offers and assigns staff to positions. the “delete recruitment” permission removes postings, applicants and positions.

Admin and HR Manager hold all four; Director is read-only. Teachers and other staff do not see Recruitment at all. Buttons the user is not allowed to use are hidden rather than greyed out.

Before you start

Steps

  1. Open Recruitment under Human Resources & Admin in the sidebar.
  2. Start on the Overview tab to see applications, open positions and upcoming interviews.
  3. Switch to Job postings to create or review vacancies.
  4. Use Applicants to search everyone who applied across all positions.
  5. Use Interviews to see the schedule grouped by day.
  6. Use Workforce & vacancies to compare authorised slots with the staff you have.

Common problems

I cannot see Recruitment in the sidebar.

Only Admin, HR Manager and Director roles with the “view recruitment” permission permission see it, and the school must have the HR feature enabled. Ask your administrator to check your role or the school feature flags.

I can open Recruitment but there is no New posting or Add applicant button.

Those buttons need the “add recruitment” permission. Directors have view-only access.

I cannot drag applicants between columns.

Moving applicants needs the “edit recruitment” permission. Without it the board is read-only and empty columns say "Nobody here".
